Role Overview
This role is a remote Medical Virtual Assistant position supporting healthcare-related clients. The job involves handling medical records, assisting with patient onboarding, managing administrative workflows, and coordinating with medical providers and internal teams.
The role requires strong understanding of medical terminology, anatomy, physiology, and healthcare documentation processes.
Key Responsibilities
Medical Records & Case Management
- Review and audit medical records for accuracy and completeness
- Verify diagnoses, timelines, and supporting medical evidence
- Identify missing or incomplete documentation and follow up
- Maintain and update case information in CRM systems
- Ensure data integrity and confidentiality
Client & Provider Support
- Refer clients to appropriate medical providers
- Support client onboarding and ensure smooth processes
- Communicate with clients, providers, and internal teams
- Handle client queries and administrative requests
π Administrative Tasks
- Manage shared inbox and organise emails
- Create tasks and workflow updates in systems
- Maintain proper filing of documents and case notes
- Support end-to-end case tracking and reporting
- Ensure compliance and proper audit trails
Minimum Requirements
- Experience as a Medical VA, Healthcare Assistant, or similar role
- Strong knowledge of:
- Medical terminology
- Anatomy and physiology
- Good communication skills (written & verbal)
- High attention to detail
- Ability to handle sensitive/confidential information
- Strong organisational and multitasking ability
- Proficiency in:
- Microsoft Office 365
- Google Workspace
- CRM or similar systems
Preferred Experience
- Telehealth or healthcare administration experience
- Familiarity with EHR/EMR systems
- Experience working in remote or international teams
Work From Home Requirements
- Stable internet (20 Mbps or higher + backup connection)
- Laptop/PC (Core i5 or higher) + backup device
- Headset with microphone
- Quiet work environment
- Willingness to use productivity tracking software (Time Doctor)
- Not currently in full-time employment
